Student’s Pass Application Guide

All international students must hold a valid Student’s Pass issued by the Singapore Immigration & Checkpoints Authority (ICA) for their studies at James Cook University, Singapore.

Documents and information required before submitting Student’s Pass Application:

Before submitting your application, James Cook University, Singapore will register your details with ICA’s SOLAR system to generate a SOLARPLUS Registration number (Student’s Pass Application number) which is needed for you to apply for a Student’s Pass. You will be informed of this number once it is generated. Ensure all your details are accurate and inform Student Ambassador for any errors immediately.

Things to prepare before submitting eForms for Student’s Pass (STP) Application:

  • A valid signed student contract for the duration of the study you are applying Student’s Pass now.
  • Your travel documents biodata page and birth certificate (if applicable)
  • Your personal information, including the list of countries/places you have previously resided in, your educational background, employment history and financial support.
  • Your parents', spouse's, and/or siblings' personal information (if applicable)
  • Your residential address and contact details in Singapore (use your preferred contact number(local) for ICA to reach out to you)
  • Reachable JCU email address: You must ensure that the email address keyed into the eForms is accurate and you have ready access to the email provided. No changes to the email address will be allowed once the application is submitted to ICA. All future correspondences including the digital STP issuance if the application is approved, will be directed to the email address provided in the eForms.
  • Your recent, passport-sized, digital, colour photograph taken within the last three months. Please refer to the photo guidelines for more information.
  • For payment: VISA or Master Credit/Debit Card, American Express Card or Internet Banking Details). Please refer to this link for the payment mode: https://www.ica.gov.sg/payment-refund

Overview of the Student’s Pass Application submission

Please make sure all your particulars are correctly captured in the eForms

For renewal of Student’s Pass Application, you will be directed to complete and submit eForm 16.
New Student’s Pass Application, you will be directed to complete and submit eForm 16 and eForm 36.

  • Upon completing the eForms, you must download a copy, sign on the last page of your completed eForms and submit the signed eForms. After you have uploaded all required documents successfully, preview the eForms to ensure all details are true and correct. To amend details, click [Back]. Note: you will be required to re-upload all documents after amendments.
  • You will also be required to upload signed eForms, photo, passport profile page and other required document (if required). Any missing signature or incomplete eForms uploaded will cause unnecessary delay to the processing time.
  • Click [Submit] to proceed. You will not be able to amend the details submitted after you have clicked the submit button.
  • Click [Make Payment] to proceed with processing fee payment, you have to pay a non-refundable processing fee of S$45. To ensure NO DELAY you need to make the payment soonest after submitting eForm.

*Note: Once you have done the payment, please inform Student Ambassador.

  • Click View Application Status to monitor your Student’s Pass Application status. Attend to the clarification's requests from ICA, if required.

Completion of Formalities Application Process

Documents Required:

Click [Download Form] to download the Medical Examination Report and Terms & Conditions of STP
Click [Next] to upload the Forms.

Step 1: Upload Documents:

Click [Upload Document] to proceed with Step 1

Click [Print Outcome Letter] to review the In-Principle Approval (IPA) letter. Note: This letter will be withdrawn if the documents are not uploaded by the stipulated deadline.

After Upload Documents: The status for Step 1 will be updated to “Processing” after you have successfully uploaded the Completion of Formalities (COF) documents.

Step 2: After COF documents are approved by ICA, you will be notified to make payment for the Student’s Pass Issuance Fee.

Click [Make Payment] to proceed to complete Step 2.

A S$60 issuance fee for Student’s Pass and a S$30 for Multiple Journey Visa (if applicable) are payable via Internet Banking, AMEX, a Visa or MasterCard credit/debit card online

Step 3: For completion of student’s pass formalities.

If required to complete ICA formalities at the ICA Building: need to book e-Appointment with ICA and be present in person (with required documents listed in your IPA letter) at the Student’s Pass unit, 4th floor, ICA Building (next to Lavender MRT station) to complete the formalities with ICA in order to be issued with your Student’s Pass.

If you are exempted to report to ICA for the completion of formalities: following this Instruction on FileSG to retrieve STP copy.

Upon successful completion of formalities, Student's Pass holders will receive an email (from [email protected]) at the email address provided in the Student's Pass after the completion of formalities at the ICA Building (if required). The email will provide information on the retrieval of the digital Student's Pass on the FileSG website.

The digital Student's Pass can be viewed directly on the Singpass app after three working days, or downloaded from MyICA or FileSG website in PDF or OA format upon completion of formalities.

If Student’s Pass Application is Rejected and you would like to appeal, please submit an appeal letter to Student Ambassador, with supporting documents within 7 working days.

An appeal application to ICA may take about 4-8 weeks for ICA to process. For unsuccessful appeal outcome, you will have to go on Leave of Absence by census date of the intake. Please ensure that you have a valid pass in Singapore during the appeal process.
